Tutorial: Free Infusionsoft Appointment Reminder Campaign!

If you’re wanting to use Call Loop to send voice and SMS text message appointment reminders, than you’re going to love this tutorial.

This campaign will help you:

  • Decrease No-Shows
  • Drive Attendance & Sales
  • Automate Email, Voice, and SMS Text Messaging

The Campaign Overview

Now, this campaign is setup as an Internal webform, so when someone fills this out, you can request to send messages and start them on a sequence.

This is a screenshot of the internal webform that you will create to start the person on the campaign.

Create Your Custom Fields

In order to send your appointment reminders, you must first create some custom fields to run the campaign off of.

For example, if my appointment is December 1, 2014 at 8am, I want to send email, voice, and sms text message reminders BEFORE my actual appointment.

To Do

  1. Create a Custom Field “Appointment Date”
  2. Create a Custom Field “Appointment Date & Time”

Appointment Date
This is the field that will RUN your campaign. (ie: 1 Day BEFORE the “appointment date” send this)

Appointment Date & Time
This will insert into your emails and sms text messages the contacts appointment date.

The Decision Diamond Rules

These are the rules for the decision diamond that will determine when the campaign will deliver the messages.

The Main Reminder Sequence

This is the main sequence that everyone will receive that will deliver the email reminders to the contact.

You’ll see that we are using the “Date Field Timer” to deliver these messages BEFORE the contact actual appointment date.

The “Send Confirmation Now” Sequence

This is the sequence that will play out if you click the checkbox on the internal form to “send confirmation now.” This will deliver the SMS or voice message that you setup.

The Infusionsoft Sequence

This SMS message will go out immediately after the webform is filled out.

NOTE: Now you may want to add a delay here, so that it will go out during regular business hours because if someone fills out the form on Sunday at 1am, the contact will then receive the SMS message.

The HTTP Post (SMS Reminder)

In this SMS message, we are passing over the phone, first, and appt (Appointment Date & Time) so we can merge it into text they will receive.

The Call Loop Message

This is what the SMS text message will look like from Call Loop. As you can see, we are using the [appt] and [FNAME] which will insert the First name, and appointment date & time into the SMS trigger.

The “Send 24 Hours Before” Sequence

This is the sequence that will play out if you click the checkbox on the internal form to “send confirmation 24-hours before.”

The Infusionsoft Sequence

As you can see here the SMS reminder will be sent 1 day before the contacts appointment date.

And that’s it!
